Training management software for medical device teams
HAVGATE training management assigns procedures to roles, records completion, and shows the gaps before an auditor does. It exists so competence evidence is a current matrix, not a folder of attendance sheets from the last all-hands meeting.
What clause 6.2 actually asks for
ISO 13485:2016 clause 6.2 requires people doing work that affects quality to be competent on the basis of education, training, skills and experience. The organization must document the process for establishing competence, providing training, and ensuring awareness of how each person contributes to quality objectives. Records of education, training, skills and experience must be maintained. Awareness is not the same as a signed sheet. People need to know the quality policy, the relevant quality objectives, and their own contribution. MDSAP task 1.6 samples the same topic inside the management process: competence requirements per role, training records, evaluation of effectiveness, and awareness of regulatory requirements.
Medical device teams feel this at two moments. The first is a new hire who is on the line or in complaint handling before anyone recorded which SOPs they read. The second is a revised procedure after a CAPA, when the document is effective and the people who perform the step still have the old revision in their binder. Training management is the bridge. Document control says which revision is effective. Training says which roles must complete it and who has done so.
Role-based matrices and gaps
A useful matrix is role by procedure, not person by every file on the drive. Define roles that match how you already assign work: incoming inspection, production, complaint handling, internal auditor, management representative. Attach the procedures and the retraining rule. When the procedure revision changes, the assignment renews. The gap report is the list of people who are in the role and have not completed the current revision. That list is what you want the week before an MDSAP audit, not the week after the auditor asks.
Effectiveness of training is the part teams skip. Clause 6.2 is not satisfied by distribution alone. For some procedures, reading and an acknowledgement is a proportionate check. For aseptic technique, complaint coding or internal audit, you may want a question set, a supervised session, or a later quality check that feeds back into competence. HAVGATE records the completion and gives you a place to describe the method. It does not decide the method. Write that decision in the training procedure so two sites do not invent two rules.
How training connects to CAPA, audits and suppliers
A corrective action that says 'retrain operators' needs a training record or it did not happen. Link the assignment to the CAPA so the effectiveness check can ask whether the same error returned after the training, which is a better check than 'five people clicked complete'. Internal auditors have their own competence requirement under clause 8.2.4. The audit program should be able to show that the auditor was trained and was independent of the process. Supplier quality has a training angle when your people perform incoming inspection or supplier audits. Those are roles, not a one-off calendar invite.
EU MDR Article 10 requires the manufacturer to have a QMS that includes resource management. Competent people are that resource. QMSR brings the same ISO 13485 competence clause into the US quality-system regulation. None of this requires a learning-management system built for universities. It requires a current assignment, a record, and a way to see the gap. That is the scope of this module.

Rolling out training records you already have
Most companies already have a spreadsheet. The move is to stop adding rows to it. Identify current employees and the roles they actually hold, including people who wear two hats. Load the procedures that are effective today, not every historical file. For historical training, keep the old sheet as a record and start the live matrix from the current revision forward, unless you have the time to transcribe history accurately. A half-imported history that looks complete is worse than a clearly dated start. The product pages note that spreadsheet import and help with historical records are available. Use them. Do not retype 400 rows if an import will do it cleanly.
Consultants and part-time quality leads should be on the matrix when they perform QMS tasks. Competence requirements do not stop at employees. Outsourced internal auditors still need to be competent, and you still need the record, which is the same point MDSAP makes about outsourced processes in task 1.5: you can outsource the activity, not the responsibility.
Enterprise is the plan that lists training management with document management. Check the pricing page for the current bundle before you assume a Starter audit subscription includes the matrix. The module is part of the eQMS, and it is the one that makes document changes stick.
Is a signed attendance sheet enough?
Only if your procedure says acknowledgement is the effectiveness check for that training. Clause 6.2 requires you to ensure competence and to keep records. High-risk tasks usually need a stronger check.
What happens when an SOP revision is approved?
The roles tied to that procedure should receive the new revision. Completion of the previous revision does not carry forward.
Does this cover MDSAP?
Task 1.6 in the management chapter is the training and competence sample. The matrix is the evidence you show for it.
Can we import our current spreadsheet?
The training pages describe guided import for spreadsheet data and help with historical records. Start the live system from a date you trust.
Who needs to be listed?
Anyone whose work affects product quality, including internal auditors and people in outsourced roles where you remain responsible for competence.
